Case Study: Continuity in Print Operations Despite Leadership Turnover
Centralizing the contract, maintenance, and consumables management for a PTA multifunction printer to prevent “person-dependent” operations and reimbursement disputes.
Device
Brother MFC-J6983CDW
This A3-capable inkjet MFP features dual high-capacity paper trays plus a multipurpose tray, reducing rework caused by paper-size switching and misfeeds. Print speed is approx. 20 ppm (A4 color) and 22 ppm (A4 mono), supporting peak workloads such as meeting packs and handouts. As an inkjet system, it eliminates the thermal fusing step, helping reduce first-page delay in day-to-day use. Pigment ink improves readability and helps minimize smudging on distributed materials.

Customer Challenges
The PTA lacked an in-house print/copy environment, and could not freely use the school’s copier due to organizational separation. Printing therefore relied on convenience-store copying or parents’ home printers, increasing time burden and often triggering issues around out-of-pocket reimbursements and fairness. Because PTA officers rotate regularly, operations were vulnerable to poor handover and reliance on specific individuals, requiring a model where contracts, maintenance, and consumables procurement would not break during transitions. Budget constraints made purchasing a typical A3 color electrophotographic (toner-based) MFP unrealistic, and leasing was also difficult. At the same time, there was ongoing demand for A3/B4 output, so the solution had to be affordable and simple to run without adding workload to officers.
Our Solution and Key Design Points
We proposed a compact, full-color pigment-ink inkjet MFP capable of B4–A3 printing, A3 copying, and scanning in one device—optimizing for limited space and budget. To remove the operational burden of consumables inventory and ordering, we bundled our 36-month fixed-fee service “SubLow,” which includes ink at no additional cost, enabling cost predictability and lower administrative workload. Maintenance is included as well, clarifying support rules and cost coverage and reducing the need for repeated explanations at every officer change. From a governance standpoint, we unified the point of contact and operating rules, simplifying procurement and support procedures.
Results and Customer Benefits
Compared with a typical A3 full-color toner MFP, the installed footprint was reduced by approximately 61% while still enabling on-site A3 color printing and scanning—significantly reducing external copying and decentralized home printing. With fixed monthly pricing plus maintenance, decisions around ordering, stock management, and reimbursements no longer depended on a specific officer, improving continuity after leadership transitions. Unexpected repair-cost uncertainty decreased, allowing the PTA to maintain a reliable print environment within budget.
Why SIS Partners
We supply key materials and components—including toner powder—to recycled-toner manufacturers. This reflects our technical expertise, market knowledge, and long-term experience that directly contribute to stable, high-quality output solutions. We handle both genuine supplies and “overseas genuine” products adapted for the Japanese market, allowing us to optimize cost and stability through the right mix. For inkjet environments, we can also select inks and devices designed to protect printheads and maintain stable operation over the long term. Our goal is to deliver the optimal balance—necessary and sufficient performance at lower cost—centered on recycling and reuse.
Consult Us for Recycled-Toner Challenges
With roughly 30 years of experience in recycled toner—especially in color printing—we help customers avoid avoidable failures and hidden costs. Some printer models require periodic maintenance; if not understood and managed, post-purchase issues can lead to unnecessary spending. SIS Partners focuses on reuse-oriented office equipment and consumables, including genuine and overseas-genuine supplies.
